    Create/Renew a Student Org

    Membership

    In order to form and maintain a student organization at GW, there must be at least 5 currently enrolled GW students who want to become members of the organization. Alumni, members of the public, or family can be guests of the organization and attend organization events, but are not allowed to handle money on behalf of the organization or hold an officer position in the organization.

    2007-2008 Student Organization Registration Process

    All student organizations are required to register with the Student Activities Center (SAC) each academic year in order to be considered active.  A group is NOT deemed registered until all steps have been completed.  Please note, there are some changes to the registration process for the 2007-2008 academic year. Here are the steps to complete registration:

    New Organizations

    • Attend an Organization Registration Meeting
      This meeting will offer all kinds of helpful information to navigate the ins and outs of successfully leading organizations at GW. All organizations are required to send their President or Treasurer and one other organization member to a meeting.

    • Online registration
      Use your GW email username and password to log into StudentOrgs and click on the "Register new organization" link.  Fill in all requested information and submit.

    • Responsibility Form
      Read on-line and electronically sign the Responsibility Form.  This form is only available via online registration. It must be signed by two officers of your organization.

    • Constitution
      During the online registration process you'll be asked to upload a copy of your organization's constitution.  If you need help, please reference the Guidelines for Writing a Constitution.

    • Budget
      Use the Budget Allocation form from the Student Association (SA) provided in the registration process to upload your organization’s budget. Note what the history of your organization is and what your operational costs are as well as goals for programming for the upcoming year. Filling out this form in full and submitting it by the appropriate deadline (information available at Student Association Website) is the way to request annual funding from the SA.

    • Online Quiz
      All student organizations are required to have two officers successfully complete a registration quiz. The quiz contains randomly chosen questions. In order to pass you must receive a score of at least 85%. If you do not pass the quiz, you must allow 24 hours before taking it again.

    • Await final SAC review and approval
      Once all of the above steps have been completed, a SAT advisor will review all submitted materials.  If there are any problems, you will be contacted by your advisor.  Please allow five business days from the day the above steps were completed for approval. You will know that your organization has been approved when you receive an email from your advisor stating your registration is complete.


    Renewing Organizations

    • Attend an Organization Registration Meeting
      Attending this meeting will offer helpful information about student organization management at GW.  All organizations are required to send their President or Treasurer and one other organization member to a meeting.

    • Online registration
      Use your GW email username and password to log into StudentOrgs.*It is important to note that you MUST use your personal e-mail account and password to log in rather than your organization's e-mail and password. Any organization registered last year for which you are an officer will be highlighted indicating it needs to be renewed.  Click on the highlighted link and follow the instructions.  All of your information from last year has been saved.  Please update the information accordingly for the current academic year to include new officers.

    • Responsibility Form

    • Constitution

If you need a copy of your organizations constitution already on file log into studentorgs and click on the name of your organization from your list of "my organizations". The most recent version of your organization's constitution should appear in the information about your organization.  If you need help, please reference the Guidelines for Writing a Constitution.

    All Organizations
    As part of the student organization registration process, each organization needs to complete the following if they do not already have established email addresses and websites for the organization:
    • Email
      Each group is required to set up a student organization email account.  This email address will be automatically added to the mc427 listserv (see Public Relations & Marketing section under Student Organization Basics for listserv details).  To set up your organization's email account you must fill out the Student Club/Org GWEmail Account Request form available at http://helpdesk.gwu.edu/accounts/sorg.html

    • Website
      Registered student organizations may apply for Web space using one of two options
      • Merlin websites will have a studentorgs.gwu.edu/_____ URL.  These websites are developed using a wizard and can be up and running in three simple steps.  Go to http://gwired.gwu.edu/merlin to begin.
      • IMAG websites will have a www.gwu.edu/~_____ URL.  These websites require the webmaster to have knowledge of HTML and web development.  Go to http://www.gwu.edu/~imag to begin.
    • Contact the Help Desk at http://helpdesk.gwu.edu with any questions.
